Who processes your data

ALHAN Groep B.V., established in Zuidland, Chamber of Commerce no. 89033205, is the data controller. Questions about this statement and requests regarding your data go to privacy@alhangroep.nl or by phone via our general number.

What data we process

We record no more than is necessary for placement, employment and payroll.

• Candidates and employees: name, address, contact details, date of birth, nationality, citizen service number (BSN), copy of identity document, work experience, diplomas and certifications (VCA, VOL-VCA, safety passport), bank account number and payroll tax details.
• Self-employed contractors: business details, Chamber of Commerce and VAT number, employment relationship statement, proof of insurance and blocked (G) account details.
• Client contacts: name, job title, business contact details and correspondence.
• During the placement: hours worked, weekly timesheets, sickness and leave notifications, and records the client is legally required to obtain from us.

Why and on what legal basis

Every processing operation rests on one of the legal bases in Article 6 GDPR.

• Performance of the agreement: placement, deployment, time registration, payroll and invoicing.
• Legal obligation: the identification requirement, payroll tax returns, the Tax Administration’s retention obligation and the requirements of NEN 4400-1 and the Dutch Placement of Personnel by Intermediaries Act (Waadi).
• Legitimate interest: quality of placement, fraud prevention and the security of our systems.
• Consent: keeping your profile after a placement ends and placing analytics cookies. You can withdraw consent at any time.

Special-category and sensitive data

We process no health data other than the sickness and recovery notifications an employer is permitted to record; medical information stays with the occupational health service. We process the citizen service number (BSN) and the copy of the identity document only because the law requires this of a temporary employment business.

Who we share data with

We do not sell data. Sharing happens only where it is necessary or required by law.

• Clients where you are placed, limited to what they need for access, safety and approval of hours.
• The Tax and Customs Administration, the employee insurance agency (UWV), the pension provider and the occupational health service.
• Processors such as our payroll system, time registration and hosting provider, with whom we have a data processing agreement.
• The labour inspectorate or an auditor of the NEN 4400-1 certification, during an audit.

Retention periods

We do not keep data longer than necessary.

• Application data without placement: four weeks after completion, or one year with your consent.
• Payroll records and identity document: seven years after the end of the employment, in line with the tax retention obligation.
• Data from the payroll tax statement: five years after the end of the calendar year in which the employment ended.
• Invoices and assignment files: seven years.

Outside the European Economic Area

Your data is stored and processed within the EEA. Where a supplier processes data outside the EEA, this happens only on the basis of an adequacy decision or the European Commission’s standard contractual clauses.

Security

Access to the portal runs through personal accounts with roles and permissions, traffic is encrypted, and documents containing personal data are visible only to staff who need them for their work. We keep a log of who views which file.

Your rights

You have the right of access, rectification, erasure, restriction of processing, objection and data portability. Send a request to privacy@alhangroep.nl; we respond within one month. If you disagree with how it is handled, you may lodge a complaint with the Dutch Data Protection Authority.
